Keller Dog Boarding – Client Agreement & Policies

Thank you for trusting Keller Dog Boarding with your pet! The following policies are in place to ensure a safe, clean, and well-managed environment for all pets in my care. By booking services, you agree to the terms below.

1. Fit for Boarding Requirement

Keller Dog Boarding only accepts dogs that are medically stable and suitable for a home boarding environment.

Dogs will NOT be accepted if they have:

  • Active illness (vomiting, diarrhea, coughing, respiratory issues)
  • Recent surgery (including spay/neuter) without prior approval
  • Ongoing medical instability or need for intensive monitoring
  • Repeated vomiting, regurgitation, or inability to retain food/water

Dogs must be:

  • Non-aggressive
  • Socially manageable
  • Fully mobile (able to walk, stand, and move without assistance)

Dogs that are:

  • Mostly or completely blind
  • Unable to move independently
  • Struggling to stand or walk

Will not be accepted

Keller Dog Boarding reserves the right to refuse or discontinue care for any dog whose condition is determined to exceed the scope of safe home boarding care or whose quality of life appears significantly compromised. Keller Dog Boarding reserves the right to refuse any dog after booking or at drop-off if it does not meet these requirements. 

2. Required Items / Prohibited Items

Do NOT bring:

  • Dog beds or large bedding (strictly prohibited)

You MUST bring:

  • Ziploc bag of food for the full stay
  • Treats (optional)
  • Pee pads (if applicable)

All other items are provided.

3. Drop-Off, Pick-Up & Late Policy (Strict Timing Enforcement)

  • All drop-offs and pick-ups are by appointment only
  • Do NOT arrive without a confirmed booking
  • A 10-minute notice prior to arrival is required

Late Policy (Strictly Defined)

  • If you are 30 minutes or more late past your scheduled time without communication:
    • Your appointment may be canceled, OR
    • A full additional day charge per dog will apply
  • If you are 30 minutes or more late for pickup:
    • A full additional day charge per dog will automatically apply
  • If a third party is responsible for pickup:
    • The same 30-minute rule applies
    • The owner remains fully responsible for any resulting charges

No Exceptions Clause

  • “Running late” without communication does not waive fees
  • Delays caused by traffic, third parties, or scheduling conflicts are not exceptions
  • Time is measured based on the scheduled appointment time in the booking confirmation

Pets will not be released until all applicable fees are paid.

4. Payment & Third-Party Handling

  • Payment is required prior to drop-off unless otherwise agreed
  • Pets will not be released until payment is complete

If someone else is dropping off or picking up your dog:

  • They must be listed in advance
  • Owner remains fully responsible for their timing and actions

Late or missed pickups by third parties will still result in applicable charges to the owner.

By booking services, owner authorizes charges related to approved boarding, daycare, late pickup fees, damage fees, veterinary expenses, and other agreed-upon services.

Owner agrees not to initiate fraudulent chargebacks or payment disputes for services that were provided in accordance with this agreement.

Any chargeback or payment dispute determined to be invalid may result in:

  • collections activity,
  • recovery of associated fees and costs,
  • denial of future services,
  • and submission of supporting documentation, communications, and signed agreements to the payment processor or financial institution.

4a. Weight Class & Pricing Accuracy

Boarding rates are based on the dog’s actual size and weight category, not solely the weight entered at booking.

Owners are responsible for selecting the appropriate pricing category for their dog. If a dog appears significantly larger or heavier than the selected category at drop-off, Keller Dog Boarding reserves the right to verify size/weight and adjust pricing accordingly. Weight estimates provided by breed standards or prior veterinary records may not reflect the dog’s current body condition. Keller Dog Boarding reserves the right to adjust size category pricing for dogs with unusually tall, long, or large builds that require larger accommodations regardless of weight.

Dogs booked under an incorrect pricing category may be:

  • moved to the appropriate pricing tier,
  • charged the applicable rate difference,
  • or refused service if the discrepancy is substantial.

This policy exists to ensure fairness, space management, and appropriate care accommodations for all dogs in the boarding environment.

5. Communication & Updates

  • Daily updates are not included by default
  • Photo updates are available as a paid add-on service

5a. Media & Promotional Use

Owner grants Keller Dog Boarding permission to photograph and record video of their dog(s) during their stay. These images and videos may be used for business-related purposes including, but not limited to, marketing, advertising, and promotional content across websites, social media platforms, and other media channels. No personal identifying information (such as owner name, address, or contact details) will be shared without additional consent. Owner understands that no compensation will be provided for the use of such media and releases Keller Dog Boarding from any claims related to the use of these materials. If the owner does not consent to media use, they must notify Keller Dog Boarding in writing prior to the start of the booking. Property may utilize audio/video surveillance for safety, security, operational, and liability purposes.

6. Medication, Health & Surgery Disclosure

Owner must disclose ALL:

  • Medications
  • Medical conditions
  • Special care needs

Recent surgeries MUST be disclosed.

Failure to disclose medical or surgical conditions may result in:

  • Immediate removal
  • No refund
  • Owner assuming full liability

Owner acknowledges that pre-existing medical conditions may worsen unexpectedly during boarding, including despite reasonable care and supervision.

Keller Dog Boarding is not responsible for complications arising from undisclosed or pre-existing conditions, age-related decline, or the natural progression of disease.

7. Behavior & Health Certification

Owner certifies that their dog:

  • Is non-aggressive
  • Has no bite history unless disclosed
  • Is free of contagious illness, fleas, and parasites

Failure to disclose issues may result in:

  • Immediate removal
  • No refund
  • Additional fees

If fleas, ticks, or active parasite infestation are discovered during boarding, Keller Dog Boarding reserves the right to immediately terminate the stay for the safety of the home environment and other pets in care.

Owner must arrange prompt pickup of the dog. No refunds will be issued for early termination related to parasites, infestation, or undisclosed contagious conditions.

Owner may also be responsible for reasonable cleaning, sanitation, yard treatment, or parasite-control costs resulting from the infestation.

8. Assumption of Risk

Owner understands:

  • Dogs are unpredictable
  • Group environments carry inherent risks

Minor injuries and incidents may occur during play.

Owner accepts these risks.

9. Stress, Digestive & Environmental Response

Owner acknowledges that boarding may cause:

  • Diarrhea
  • Vomiting
  • Refusal to eat
  • Digestive upset or stool changes related to stress
  • Behavioral changes

These are common stress-related responses and are not the responsibility of Keller Dog Boarding.

10. Senior Dog & Age-Related Risk

Senior and geriatric dogs are accepted on a case-by-case basis depending on mobility, cognitive function, continence, appetite, and overall stability.

Owner understands that elderly dogs, especially those with dementia/cognitive decline, sensory impairment, incontinence, or chronic medical conditions, carry increased medical risk during boarding due to age, stress, environmental changes, and natural progression of disease.

While Keller Dog Boarding will provide attentive, compassionate, and reasonable care, owner acknowledges that senior pets may experience sudden decline, medical episodes, or natural passing despite appropriate supervision.

Keller Dog Boarding is not liable for age-related decline, stress-related complications, or natural death provided reasonable care has been exercised.

Owners of senior dogs must:

  • Provide emergency contact information
  • Provide detailed care instructions
  • Disclose all known medical conditions
  • Provide emergency veterinary and end-of-life instructions prior to boarding

Keller Dog Boarding reserves the right to decline boarding for dogs requiring intensive medical, hospice-level, or continuous overnight monitoring beyond the scope of normal home boarding care.

11. Condition at Drop-Off

Owner confirms the dog:

  • Is stable and fit for boarding
  • Has no undisclosed symptoms or conditions

Keller Dog Boarding may document condition at intake and refuse service if necessary.

Undisclosed conditions remain the owner’s responsibility.

12. Veterinary Care Authorization

  • Efforts will be made to contact your listed veterinarian first
  • In emergencies, the nearest appropriate vet will be used

Owner agrees to remain reasonably reachable during the boarding period and to provide a valid emergency contact capable of making decisions if the owner cannot be reached. If the owner or emergency contact cannot be reached during a medical emergency, owner authorizes Keller Dog Boarding and the attending veterinarian to make reasonable medical decisions in the dog’s best interest based on the veterinarian’s professional recommendation. Keller Dog Boarding is not financially responsible for outcomes related to emergency medical treatment or emergency veterinary decisions. Owner is responsible for all veterinary costs.

13. Liability Release

Owner agrees to release Keller Dog Boarding from liability for:

  • Injury
  • Illness
  • Stress related conditions
  • Age related decline
  • Accidental incidents
  • Escape
  • Loss
  • Serious medical events or death

Except where prohibited by law or in cases of proven gross negligence or willful misconduct.

Keller Dog Boarding will:

  • Provide attentive care
  • Monitor safety and behavior
  • Act in the dog’s best interest

However, outcomes cannot be guaranteed.

14. Damage Responsibility

Owner is responsible for all damages caused by their dog, including:

  • Property damage
  • Injury to people or animals
  • Excessive cleaning

15. Removal / Early Termination

If a dog becomes:

  • Aggressive
  • Unsafe
  • Medically unstable

The stay may be terminated immediately. No refunds will be issued. Owner must arrange immediate pickup.

16. Cancellation Policy

  • 8+ days: Full refund
  • 2-7 days before boarding day: 50% refund
  • 24 hours or less notice/Same-day/no-show: No refund

17. Insurance Disclosure

Keller Dog Boarding maintains business insurance, including liability coverage.

This coverage:

  • Is subject to policy terms, conditions, and limitations
  • Does not guarantee coverage for all incidents

Owner agrees that:

  • Insurance coverage does not alter or expand the liability limitations outlined in this agreement
  • All terms of this agreement remain fully enforceable regardless of insurance status

18. Pet Abandonment / Failure to Retrieve

If a dog is not picked up within 24 hours of the scheduled pickup time and the owner or emergency contacts cannot be reached, the dog may be considered abandoned.

Keller Dog Boarding reserves the right to:

  • continue charging daily boarding fees,
  • transfer the dog to emergency boarding or animal control,
  • seek reimbursement for all related costs,
  • or pursue any other remedies permitted by law.

Owner remains financially responsible for all costs incurred due to delayed or abandoned pickup.
